Reviewing, filtering and exporting timesheet data
Using the Historical View to review, validate and export structured R&D time records.
1. Overview
The Historical View within the Timesheets module provides a consolidated overview of all R&D time entries across a selected period.
This view supports:
- Internal compliance review
- Financial reconciliation
- Consultant collaboration
- Claim preparation
- Audit readiness
It allows you to filter, sort, search and export structured R&D time data.
2. Using the Historical View
When first opened, the Historical View displays all team member timesheet entries for the selected financial year or the entered date range.
Large datasets may take a short time to load. A loading indicator will appear while data is retrieved.
You can refine the dataset using filters, sorting and search functions.
3. Filtering Data
The filter panel allows you to narrow the dataset before reviewing or exporting. You may filter by:
Team Member
All team members are selected by default. You can remove or add specific team members as needed.
Project
Select one or multiple projects to isolate relevant R&D work.
Activity
Filter by specific Core or Supporting activities.
Record Type
You may filter by entries that include uploaded evidence (“With Evidence”).
Financial Year and Date Period
You can select:
- Financial Year (default: July to June)
- Specific date ranges within that year
The displayed table updates based on the applied criteria. Filtering before exporting ensures your dataset is accurate and relevant.
4. Sorting and Searching
Sorting
Columns can be sorted to organise data:
Alphabetical sorting:
- Staff name
- Project
- Activity
- Description
Numerical sorting:
- R&D hours
- BAU hours
Sorting assists with identifying anomalies or inconsistencies.
Searching
You may enter keywords or phrases into the search bar to refine results.
Search results will display entries containing the keyword within:
- Project
- Activity
- Description
Note: Staff name and Date fields are not searchable via keyword search.
5. Exporting Timesheet Data
The data currently displayed in the Historical View can be exported as a CSV file.
Before exporting, confirm:
- Correct financial year
- Correct date range
- Filters applied appropriately
- Time allocations reviewed
The exported file reflects the filtered dataset currently displayed.
Exports may be used for:
- Internal financial review
- Consultant reporting
- Claim preparation
- Audit support
Exported data should align with:
- Documented Core and Supporting activities
- Evidence uploads
- Expenditure records
6. Best Practice for Compliance
- Apply filters before exporting
- Review for incomplete descriptions
- Confirm R&D and BAU hours are correctly distinguished
- Reconcile time allocations with expenditure
- Use the “With Evidence” filter when reviewing substantiation
The Historical View is not simply a reporting tool. It is part of your compliance validation workflow.
