Uploading and Managing Evidence in Synnch
Step-by-step guide to uploading, attaching and organising R&D documentation within the platform.
1. Overview
The Evidence module allows you to upload, organise and review documentation that supports your R&D activities.
Evidence can be:
- Uploaded directly to a project via the Evidence Module
- Attached to a timesheet entry
- Reviewed and evaluated within the Evidence module
All uploaded documents are stored centrally in the Evidence module to ensure traceability.
2. Uploading Evidence to a Project
Use this method for overarching or project-level documentation.
Step 1: Open the Evidence Module
Navigate to the Evidence module from your project dashboard.
Step 2: Select a Project
You must select an existing project.
This ensures the document is correctly linked to your R&D objective.
Step 3: Upload a Document
Click the upload button and select your file, or drag and drop it into the field.
Step 4: Submit for Analysis
Once uploaded, the document will be analysed by Synnch AI. While it’s analywing a “processing” bar will appear.
The AI reads:
- Project, Core and Supporting activity descriptions
- Framework details
A relevance score will be generated to indicate how closely the document aligns with defined R&D activities.
This supports internal review and quality control.
3. Attaching Evidence to a Timesheet Entry
Use this method for task-specific documentation.
Step 1: Log R&D Time
Navigate to the Timesheets module and add R&D hours.
Step 2: Add Description and Evidence
Click “Upload Evidence” to open a separate window where you can upload relevant documentation alongside your other entries.
Step 3: Submit Entry
The attachment will automatically be:
- Linked to the selected Project and activity
- Stored in the Evidence module
These attachments are grouped under “Platform Attachments” and are not automatically assigned a relevance score but can be manually reviewed if needed.
4. Managing Evidence in the Evidence Module
Within the Evidence module, you can:
- View all uploaded documents
- Identify which project they belong to
- Review AI-generated relevance scores
- Distinguish between uploaded documents and Platform Attachments
- Manually review documents where required
- Download and Export any Evidence
The Evidence module acts as the central repository for all R&D documentation.
5. Best Practice Tips
- Upload overarching project documents early
- Attach task-level evidence regularly with Timesheet Entries
- Periodically review relevance scores
- Avoid uploading unrelated or generic files
Evidence should support your activity descriptions, not sit disconnected from them.
6. Common Mistakes
- Treating the Evidence module as a storage folder only
- Failing to attach task-specific documentation
- Waiting until year end to upload evidence
